Making a claim

Please take the time to read the Insurance Product Information Document. This document provides a summary of your cover. :

We cover the following types of claim:

• Accidental Damage
• Accidental Loss
• Liquid Damage
• Fire Damage
• Flood Damage
• Malicious Damage (by someone other than an employee of the school)
• Theft (including theft by the person to whom the Radio Aid System is issued)

Also:

• Radio Aid Systems are covered anywhere in the world for up to 30 days in each 12 month period.
• There is no excess to pay when making a claim.
• If when making a claim we need to replace your Radio Aid System, or a part of it, the new Radio Aid System will automatically be covered under the policy.

Significant or unusual Conditions, Exclusions or Limitations

Like most insurance policies there are some things we can’t cover. Please ensure you read the “What is not Covered” section of the policy document for full details. We’ve summarised some of the most important things you need to know here:

• Any claim for Radio Aid Systems that are not suitably stored or packed whilst in transit.
• If your transmitter or receiver cannot be repaired, we will replace it up to the single claim limit. The single claim limit refers to the total value the transmitter and two receivers making up your Radio Aid System. Your Radio Aid System, the transmitter or receiver will be replaced with equipment to the nearest specification(s) to your Radio Aid System. This does not mean you will receive an upgrade.
• You must ensure the Radio Aid System is operated and serviced in accordance with the published manufacturer’s published recommendations.
• You must report an accidental loss or theft to the police or local authority as soon as is practicable and in any case within 72 hours of discovering the accidental loss or theft.

Significant exclusions:

Unfortunately, we can’t pay your claim in respect of:

• Any claim as a result of mechanical breakdown, electronic breakdown, hardware or software failure to the Radio Aid System.
• Theft from any motor vehicle between 22.00 hours and 06.00 hours.
• Theft of your Radio Aid System from an unattended vehicle unless the vehicle is locked, and the Radio Aid System is completely hidden from view within a glove compartment or boot.
• Theft as a result of the Radio Aid System being left on top of a motor vehicle.
• Theft of your Radio Aid System from any vehicle, or property unless the Theft has occurred through forced and violent entry or exit.
• Any Accidental Loss where the circumstances of the Accidental Loss cannot be clearly identified. This means You must be able to confirm the time and the place of the Accidental Loss.
• If you loan or lend the Radio Aid System to anyone else (other than a pupil).

This policy does not cover:

• Cosmetic damage, such as scratches and marks to the Radio Aid System.
• Wear and tear.
• Any additional costs you incur above the repair cost or replacement cost of the Radio Aid System.
• Data carrying materials, computer programs or the value of data.

We’ll assess your claim

The Specialty Risks claims team will assess your claim on behalf of the Insurer.

If we need to ask you for more information, we will contact you using the telephone or email details you give us when you make your claim.

For Accidental Loss claims you will need to send us your Lost Property reference number from the Police or relevant local authority.

For Theft claims you will need to send us your Crime Reference number from the Police or relevant local authority.

If you have any repair receipts or photographs of the damage to your Radio Aid System or property please also provide these to us during the claim process.

Paying the claim

If your claim has been approved, we will let you know that you can either purchase a replacement transmitter, receiver or total Radio Aid System or we will order one for you. Where you purchase the replacement, we will ask you to then invoice us for the cost of the replacement. Where you are registered for Value Added Tax (VAT), we will settle the amount net of (VAT).

Who is eligible?

This policy is for schools who want their pupils/users of Radio Aid Equipment to be able to use those systems away from the school’s premises.

The policy is not suitable for individuals or people who want to insure their personal Radio Aid System.

Only a representative of the school who has the authority to do so may complete an application.

Is your equipment eligible?

Only Radio Aid Systems that meet the following criteria will be accepted by us (unless we agree otherwise following your application):

• The Radio Aid System is in full working order and there is no visible damage to the Radio Aid System.
• The school can provide evidence of ownership if required to do so.
• The total replacement cost of your Radio Aid System (one transmitter and two receivers per pupil) does not exceed £2,000.00.

• The equipment must be less than 2 years old at the point of taking out this insurance, unless in accepting your application we have agreed otherwise
• If your equipment cannot be repaired, we will replace the equipment up to the single claim limit. The single claim limit refers to the value of your equipment and this means it will be replaced with equipment to the nearest specification(s) to your equipment. This does not mean you will receive an upgrade
• You must ensure the equipment is operated and serviced in accordance with the published manufacturer’s published recommendations
• In the event of a claim you must be able to produce a proof of ownership for the insured equipment
• You must report a theft to the police as soon as is practicable and in any case within 72 hours of discovering the theft

• Your equipment is stolen when it has been left unattended (other than when is in a locked vehicle or premises)
• Your equipment is stolen from an unattended motor vehicle unless the vehicle is locked, the equipment is placed out of sight and theft has occurred through forced and violent entry or exit.
• The equipment is left in an unattended motor vehicle and it can be seen from the outside
• You loan or lend the equipment to anyone else
• You lose or misplace the equipment

This policy does not cover:

• Cosmetic damage, such as scratches and marks to the equipment
• Wear and tear
• Any additional costs you incur above the repair cost or replacement cost of the equipment
• Data carrying materials, computer programs or data information

We’ll assess your claim

If we need to ask you for more information, we will contact you using the telephone or email details you give us when you make your claim.

For all claims you will need to send us the proof of purchase.

For theft claims you will need to send us your Crime Reference number from the Police.

If you have any repair receipts or photographs of the damage to your equipment or property please also provide these to us during the claim process.

Repairing your equipment

If your device suffers accidental damage or breakdown we will ask your chosen Assistive Technology Service Provider (ATSP) to contact you and arrange for a courier to collect the damaged equipment for inspection.

Your ATSP will then provide us with a quotation for repair. Once we have approved your claim we will ask your ATSP to repair your equipment.

If for any reason your claim is not covered under the policy one of the Specialty Risks claim team will contact you to let you know what your options are.

If we need to replace your equipment

If your equipment is stolen we will ask your ATSP to quote for a replacement. When your claim is approved, we will ask your ATSP to send your replacement equipment to you.

If you had assistive software on your original equipment, your ATSP will make sure this is installed before they send your replacement equipment to you.

Paying the claim

We will pay the repairer for the repair or replacement of the equipment. You won’t have to pay anything towards the cost of your claim.
